A well-written cover letter makes a recruiter interested in you by instantly grabbing their attention and communicating why youre the right person for the job.

However, there are certain keywords to use in a cover letter that will set you apart from other applicants and land an interview.

We examine what cover letter keywords are and why you should use them by providing examples and seven writing tips.

Information For Your Resume

No matter what type of resume you choose, you will need to gather specific information in order to write your resume.

You will need:

  • Contact Information: The first section of your resume should include information on how the employer can contact you
  • Objective: Job title youre applying for and reason to hire you.
  • Career Highlights: List key achievements, skills, strengths and experiences that are relevant to the position for which you are applying.
  • Work Experience and Skills: This section of your resume includes your work history. Include the businesses you worked for, the dates of employment, the positions you held, a bulleted list of major responsibilities, accomplishments or achievements and a list of your skills.

Do Your Research First

Before you start writing, find out more about the company and the specific job you want. Of course, you should carefully read the job description, but also peruse the companys website, its executives Twitter feeds, and employee profiles on LinkedIn. This research will help you customize your cover letter, since you shouldnt send a generic one. Itll also help you decide on the right tone. Think about the culture of the organization youre applying to, advises Glickman. If its a creative agency, like a design shop, you might take more risks but if its a more conservative organization, like a bank, you may hold back.

If at all possible, reach out to the hiring manager or someone else you know at the company before writing your cover letter, advises Lees. You can send an email or a LinkedIn message asking a smart question about the job. That way you can start your letter by referencing the interaction. You might say, Thanks for the helpful conversation last week or I recently spoke to so-and-so at your company. Of course, its not always possible to contact someone or you may not get a response. Thats OK. Its still worth a try.

Attachments Vs Pasting Plain Text

Keep in mind that some employers do not accept attachments. In such cases, paste your resume into your email message as plain text. However, when there are no instructions, the easiest way to send your resume is as an attachment. That will preserve your resume content and format. Your cover letter can either be attached as well or written in the body of an email message.

Write A Clear Subject Line

There are a few points of etiquette to keep in mind when sending your resume in an email. Photo by Thought Catalog on Unsplash

We recommend this subject line because its short and to the point, and the specificity gives you a good shot at avoiding the dreaded spam folder. As a bonus, using your full name right off the bat helps it stick in the recruiters mind, so youre more likely to stand out as a job candidate.

Place Your Job Descriptions Near The Beginning Of Your Resume

For many hiring managers, your descriptions of your previous work experiences are their primary source of information about you. For this reason, place this section near the top of the first page, where anyone looking at your resume can find it easily. Add your work history before the skills or education sections to make sure that people can see exactly why you’re qualified for a position by considering your past accomplishments.

Case Study #: Demonstrate An Understanding Of What The Company Needs

Michele Sommers, the vice president of HR for the Boys & Girls Village, a nonprofit in Connecticut, recently posted a job for a recruiting and training specialist. I was looking for someone with a strong recruiting background who could do everything from sourcing candidates to onboarding new hires, she says. She also wanted the person to hit the ground running. Were a small team and I cant afford to train someone, she says.

More than 100 candidates applied for the job. The organizations online application system doesnt allow for cover letter attachments but one of the applicants, Heidi , sent a follow-up email after submitting her résumé. And its a good thing she did because she wouldve been weeded out otherwise, Michele says.

Heidis résumé made her look like a job hopper very short stints at each previous employer. Michele assumed she was a poor performer who kept getting fired. She was also the only candidate who didnt have a four-year college degree.

But Heidis email caught Micheles eye. First off, it was professional. Heidi stated clearly that she was writing to double-check that her application had been received. She went on to explain how she had gotten Micheles name and information and her personal connection to Boys & Girls Village .

Include A Brief Email Message

How NOT to Email your Resume | CV

Write a simple message in the body of the email to let the hiring manager know youve attached your cover letter. Never leave the email message blank, since it can confuse whoever opens it. Your short email message might look like:

Dear Ms. Garcia,

Please see my attached resume and cover letter for the position.

Let me know if you would like any more information.

Thank you for your consideration!

Tips For Writing A Resume

To perfect your resume, consider the following tips:

  • Keep it short: Hiring managers receive a lot of resumes and if yours is too long, they may dismiss it. Try to limit your resume to one page to highlight your most relevant skills and experience.
  • Use proper formatting: Keep your resume simple with a black and white format otherwise applicant tracking software may not be able to process it. Try not to include excessive designs or colours unless you’re applying for an artistic position.
  • Proofread: Before you submit your resume, ensure you proofread it to maintain a professional image. Read it out loud to catch any grammatical, spelling, or punctuation mistakes or ask a friend or family member to do so.
  • Create a new resume for each job you apply for: Tailor your resume to each employer to help you stand out more. This allows you to include specific keywords the employer is looking for, showing them you’re a good fit.

What Even Emails Have To Be Formal

During your job search and afterward as well, once youre re-employed sending proper emails is vital for your career. All levels of an organization value communication skills. Dont be misunderstood. Make sure you convey information in ways that represent a positive image of you to others.

In the world of work, quite often, you are what you write. This is nowhere more true than when submitting your resume and cover letter for consideration. Every impression counts. Your emailed message may be the very first thing a potential employer sees from you.

How To End Your Email To A Recruiter

Emailing Resume

The best way to end your email to a recruiter is to sign off with, Best regards or Thank you, and then your name. You can see this in the email examples above. One more note: Before ending your email, make sure you addressed everything the recruiter asked for. If they requested your resume, you should either attach it or explain why its not attached .

If youre writing a cold email to a recruiter and not responding to them, then you should make sure youve clearly and directly asked for what you want before ending your email. For example, you could say, Please let me know if it sounds like a good fit to work together, and we can set up a time to talk this week.

Thats called a Call to Action a direct request for them to reply with specific information.

When cold emailing, always end your email with a Call to Action. This improves your odds of hearing back. This is a tactic that professional marketers have used for years, and you can use it in your job search, too!

Determine Who To Send The Email To

If you know someone who works at the company, either address your email to them or ask them for the contact information of a manager in the department where you’re seeking employment. If you’re writing to a smaller company, you can direct your email to the CEO or another senior executive, as they may be involved in the hiring process. A web search of the organization can often provide the names of the executives and contact information.

For a larger company in which you don’t have any contacts, conduct a web search to find the names of people who work in the department of your choosing. As you’re inquiring about an unlisted job, emailing someone in your desired department may be more beneficial than reaching out to a human resources associate who may be busy filling vacant positions.

Start By Choosing The Right Resume Format

A format is the style and order in which you display information on your resume. There are three commonly-used resume formats you can choose from depending on which is right for you: Chronological , functional or a combination.

A chronological resume format places the professional history section first and is a good option if you have a rich professional work history with no gaps in employment.

1. Name and contact information2. Summary or objective4. Educational history5. Skills and abilities

The functional resume format emphasizes the skills section and is a good option if you are switching industries or have some gaps in your work history.

1. Name and contact information2. Summary3. Skills grouped by theme4. Any relevant professional experience5. Education

The combinationresume format is a good option if you have some professional experience, where both skills and work history are equally important.
